Receptionist / Front Desk Administrator

The Music Academy of Port St. Lucie is seeking a friendly, organized, dependable, and confident Receptionist / Front Desk Administrator to join our team!
Our receptionist is often the first person our students and families interact with, so we are looking for someone who is welcoming, professional, comfortable communicating with others, and able to stay organized in a busy environment.
This position involves much more than simply greeting families. Our receptionist helps keep the Academy running smoothly by managing communications, accurately recording payments, assisting families, maintaining records, and supporting our teachers and administrative team.
Responsibilities
- Greet students, parents, teachers, and visitors in a friendly and professional manner
- Answer incoming phone calls confidently and professionally
- Respond to text messages and emails in a timely manner
- Communicate with current and prospective families regarding lessons, scheduling, policies, billing, and general questions
- Accurately log and record student payments
- Assist with collecting outstanding balances and communicating with families regarding payments when necessary
- Maintain accurate student and administrative records
- Assist with scheduling lessons, trials, makeups, and other appointments
- Help prospective families learn about our programs and guide them through the enrollment process
- Use Google Docs, Google Sheets, Google Drive, email, and other online systems regularly
- Enter information accurately into spreadsheets and Academy management systems
- Communicate schedule changes and important information to families and teachers
- Help maintain an organized, clean, and welcoming front desk and lobby
- Complete assigned opening, mid-shift, and closing administrative tasks
- Assist with occasional flyers, newsletters, forms, inventory, and other administrative projects
- Help prepare for recitals, performances, events, and special programs
- Work closely with Academy owners, administrators, and instructors
- Follow Academy policies while handling parent questions and concerns professionally
- Protect confidential student, family, employee, and financial information
What We're Looking For
The ideal candidate is someone who is:
- Confident on the phone. You should be comfortable answering calls, speaking with new families, explaining information clearly, and handling questions professionally.
- A strong communicator. Excellent written communication is important because you will regularly communicate through text and email.
- Comfortable handling payment information. Accuracy is extremely important when logging payments and maintaining financial records.
- Tech-savvy. You should be comfortable using Google Docs, Google Sheets, Google Drive, Gmail, and web-based software.
- Detail-oriented. Small mistakes in schedules, payments, or communication can create larger problems, so attention to detail is essential.
- Organized and able to multitask. The front desk can become busy, especially during lesson hours.
- Friendly and approachable. We want our students and families to feel welcomed when they walk through the door.
- Professional and dependable. Reliability, punctuality, and good judgment are extremely important.
- Able to problem-solve independently. We will provide training and policies, but we are looking for someone who can think through everyday situations and take initiative.
- Comfortable around children and families. Our Academy serves students of many different ages, so patience and a positive attitude are important.
Qualifications
- Previous receptionist, administrative, customer service, office, or front desk experience preferred
- Strong verbal and written communication skills
- Comfortable making and receiving phone calls
- Comfortable communicating professionally through text and email
- Basic to intermediate knowledge of Google Docs and Google Sheets
- Strong typing and computer skills
- Ability to learn new scheduling and administrative software
- Strong attention to detail and accuracy
- Ability to maintain professionalism and confidentiality
- Reliable transportation and consistent attendance
Experience in a music school, dance studio, children's program, educational setting, or similar environment is a plus, but music experience is not required.
