The Cleveland Orchestra is seeking a Manager of Orchestra Personnel to provide general support to the Director of Orchestra Personnel and all areas of the Orchestra Personnel Department. The Manager of Orchestra Personnel represents the department throughout the organization and with outside contacts, coordinates and assists in the execution of TCO auditions, organizes outside employment opportunities, and manages data systems in the Orchestra Personnel Department.

You will be able to manage the following:

ORCHESTRA PERSONNEL DUTIES

Provide general support for Director of Orchestra Personnel where needed, including but not limited to taking attendance at rehearsals and concerts; acting as liaison between orchestra and management; and assisting in coordination of Orchestra's needs with the Librarians and Stage Technicians.
Monitor compliance with TCO Trade Agreement.
Serve as key member of MAA team to develop and implement health and safety protocols during and after Covid-19 pandemic and beyond. Ensure compliance with MAA Covid mandates and health protocols among musicians.
Hire substitute and extra musicians as per the instrumentation needs of the orchestra, notify subs/extras of all details including schedule, dress, parking, pay, and repertoire; co-ordinate hiring needs with Principals, maintain data in ArtsVision and hiring tracking grid.
Manage procurement and tracking of all vaccination requirements and statuses for all substitute players, extra players, and audition candidates. Ensure compliance with MAA Covid mandates and health protocols.
Prepare and distribute rosters including split and reduced orchestras.
Prepare and distribute section assignments; coordinate wind and string rotation; track time off for Orchestra members as pertains to section assignments and roster preparation, and Orchestra Personnel data systems.
Manage and report string section rotation minutes.
Participate in concert duty rotation for TCO performances at all venues as needed.
Coordinate Miami Prelude concerts including participation and program details.
Collect employment paperwork including federal and state tax forms from new musicians, ensuring that paperwork is being filled out correctly and in a timely manner.
Fulfill administrative duties in the Orchestra Personnel Department as necessary (process invoices, mail distribution, locker and mailbox assignments, etc.).
Consistently display a high level of discretion and empathy when dealing with sensitive personnel matters; maintain an exceptional degree of diplomacy and sensitivity while working under pressure.
Maintain a balanced and calm atmosphere backstage and in the personnel office, to dispel and offset stress and tensions that are not conducive to productivity.

AUDITIONS, OUTSIDE EMPLOYMENT, and TOURING

Manage TCO auditions including the planning and scheduling of audition dates, preparing and placing ads; coordination of Audition Committees, oversee scheduling of venue spaces, audition candidates, compile and distribute audition statistics for archival purposes.
Develop and implement audition procedures with increased focus on safety and efficiency; manage information among various MAA departments, including operations, artistic, venues and events.
Manage outside employment opportunities including Blossom Festival Band and Blossom Festival Orchestra.
Hire musicians as required and process payrolls for Blossom Festival Band and Blossom Festival Orchestra services. Develop pro formas and budgets as required.
Coordinate production and logistical requirements with MAA staff as needed.
Serve as a member of the touring staff and accompany the Orchestra on tour as needed; in conjunction with Director of Orchestra Personnel, manage all orchestra matters abroad, including but not limited to procuring substitute players in cases of illness, maintaining regular communication with musicians regarding personnel and logistical matters, and troubleshooting issues or extenuating circumstances that may arise abroad.

ADMINISTRATIVE

Prepare all visa and green card materials for foreign musicians as hired.
Maintain Orchestra Personnel records and scheduling data in the Operations/Artistic planning software program.
Participate in cross-departmental production and planning meetings to review technical and logistical plans for Severance Music Center, Blossom, touring, and other outside venues.
Serve on standing and ad hoc committees in the organization as required, providing input from an Orchestra Personnel perspective.

The successful candidate will meet the following qualifications:

Bachelor’s Degree in music, arts management, or other related field required
Minimum 3+ years of experience in orchestra personnel role or related experience
Extensive knowledge of orchestral repertoire and instrumentation required
Ability to consistently maintain a professional image and demeanor with excellent interpersonal skills
Demonstrated independent, mature judgment and a strong sense of fairness
Strong problem-solving skills
Responsive, communicative, discreet and calm under pressure
Proven ability to establish and maintain trust and confidentiality with musicians and administration
Ability to read and correctly interpret union contracts
Proficient with Microsoft Office Suite; ArtsVision or other arts related database experience
Must be able to travel between locations (Severance Music Center and Blossom Music Center); may be asked to take on additional travel assignments.
Ability to work a flexible schedule that includes evenings and weekends.
