The Cleveland Orchestra is seeking an Orchestra Personnel Assistant who will provide general administrative support for all activities involving the musicians of The Cleveland Orchestra. This individual will have a basic understanding of classical music repertoire and the ability to communicate effectively, proactively and sensitively with diverse groups of people, both verbally and in writing.

Responsibilities include the following:

Prepare, organize and distribute information to members of the Orchestra and administrative team including distribution of schedules, memos and other materials.
Reserve building spaces for chamber rehearsals as requested. Coordinate chamber rehearsal needs with stagehands and building operations.
Support the Orchestra Personnel Manager with activities related to Blossom Festival Band and Blossom Festival Orchestra including the preparation and distribution of schedules, handbooks, and music.
Under the direction of the Director of Orchestra Personnel, prepare pension reports for substitute and extra musicians and assist with tracking of media payments.
Contribute to the work of the office by providing general feedback to the Director and Manager, resolving musicians’ questions and concerns as they arise and elevating problems as appropriate while maintaining confidentiality.
Prepare and maintain orchestra personnel records, including ArtsVision address book records, personnel statistics, contact lists, etc. Maintain supply of various forms needed by members of the Orchestra and substitute and extra musicians.
Assist the general public with questions concerning hiring musicians for outside events as well as any inquiries about the orchestra itself.
Distribute orchestra mail and telephone messages as received.
Provide daily clerical office support.
Audition Support: Work with the Orchestra Personnel Manager to place ads announcing audition(s) on various websites and other sources as needed. Reserve internal building spaces.
Process resumes and track applicants in Access database. Coordinate travel and hotel arrangements for candidates.
Prepare materials for the day(s) of the audition; assist with logistics, timing, information, etc. for both internal team and external candidates.
Maintain audition statistics and files.

The successful candidate will meet the following qualifications:

Associate’s or Bachelor’s Degree in music or music history
4+ years of related office/clerical experience; orchestra experience is critical
Excellent communications skills, both verbally and in writing
Superior organizational skills, with a high attention to detail is essential
Ability to work independently and as part of a team
Ability to consistently maintain a professional image and demeanor
Ability to successfully prioritize to manage multiple projects and meet deadlines
Proficient with all Microsoft Office Suite programs is required; knowledge of ArtsVision database is highly desirable
Knowledge of classical music repertoire
Ability to maintain confidentiality
Ability to occasionally work a flexible schedule including evenings and weekends as necessary
