Job description
We are looking for a part-time Helper/Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks, light cleaning and inventory organization.
As a Helper/Receptionist, you will be the first point of contact for customers calling or visiting our company.
Our Helper/Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business, and do a variety of daily tasks. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Helper/Receptionist, you should have a pleasant personality, as this is also a customer service role.
You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in short daily shifts, so flexibility is a plus. Ultimately, a Helper/Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and that our business is organized and able to orchestrate various operational tasks, all to the highest quality standards.
Responsibilities
- Greet and welcome guests as soon as they arrive at the business
- Direct visitors to the appropriate person, studio, or office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone
- Receive, sort and distribute daily mail or deliveries, or other operational devices
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, schedules, personal business forms and so on)
- Remind supervisor to order front office supplies and keep inventory of stock
- Update calendars and schedule meetings, troubleshoot
- Keep updated records of daily operations and schedules
- Perform other clerical receptionist duties such as filing, photocopying
- Light cleaning includes emptying trash cans, cleaning and sorting restroom, dusting showroom, tidying studios, light vacuuming as needed throughout
- Inventory system - including checkout, and logging in and labeling new products as needed
- Excellent multi-tasking and organizational skills
- Organization of a variety of inventory. stock and goods, includes ability to lift 25lbs (examples: incoming box of music book stock, folder/paper delivery boxes, a variety of musical instrument/stock)
- Ability to learn about and convey information to customers about the various products and services we offer
Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in a variety of data systems, or having sufficient understanding to learn
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree; additional certification in Office Management is a plus
